Using Kojo, the AI Assistant
Kojo is MemorDesk's meeting intelligence assistant. It answers questions about your meetings, finds action items, explains features, and navigates the app.
Open Kojo
- Desktop: Sidebar > Chat Kojo (
/dashboard/assistant). - Mobile: the orange Kojo button in the centre of the bottom navigation bar (
/m/assistant).
What you can ask
- "What did we decide about the launch date?"
- "What are my open action items this week?"
- "Summarize my meetings from this week."
- "How do I export a meeting?" (navigation is free, and so is a how to answered straight from the help guide)
Point Kojo at a meeting or document with @
To focus Kojo on a specific meeting or document, mention it. Type @ in the chat box (or tap the @ button next to the attach button) to open a picker above the message box. It has a search box at the top, and two tabs:
- Meetings, your completed meetings in the current workspace, newest first, with their date on the right.
- Docs, the documents in the current workspace's Knowledge, with their file type on the right.
Type in the search box and it searches meetings and documents together, listing the matches under a Meetings heading and a Docs heading with a match count on each tab. Older meetings are found by title too. Use the arrow keys and Enter to pick one (or click or tap it), Tab to switch tabs, and Esc to close. Each pick becomes a chip above the message box (orange for a meeting, blue for a document); remove one with its x, or press Backspace in an empty box to remove the last. You can mention up to five items in one message, and a message can be just mentions.
Kojo reads everything you mention in full before answering, so "what did we decide in @Q3 planning" is answered from that meeting. A document that is still processing is read straight from the uploaded file. Kojo only reads items you are allowed to see, and meetings older than your plan's memory window stay locked. Sent messages show the mentions as chips; click one to open that meeting or your documents.
Attach files and images
Click the paperclip (desktop) or the + button (mobile) to attach up to four files per message: images (PNG, JPG, WEBP) or documents (PDF, DOCX, TXT, MD, CSV, JSON). Pasting a very long block of text attaches it as a text file automatically.
Each attachment shows as a thumbnail in the message box while it uploads, and as a thumbnail card in the chat once sent: a preview for images, and a card with the file type, name and size for documents. Kojo reads an attachment as soon as its upload finishes; if you send before that, the message waits and goes out the moment the file is ready. Scanned PDFs with no text layer are read page by page.
When Kojo answers from a meeting or file, it can show a small source chip at the end of the sentence, bullet, or table cell it supports. Select the chip to open that source. The source summary beneath an answer only includes sources Kojo actually cited.
For a process, flow, team structure, or decision timeline, Kojo may include a diagram when it makes the answer easier to understand. While the answer is still arriving the diagram shows as code, and it is drawn once the answer finishes. Diagrams are scrollable on smaller screens, and include controls to copy their source or download an SVG.
Attachments stay in the chat for 30 days. Select an attachment card to preview it without leaving Kojo. Images and PDFs open in place, while document and spreadsheet cards show a secure readable-text preview. To keep one for good, click Save to memory on its card. It is saved straight into the workspace you are in right now (never moved to your personal space) and appears in Knowledge > Documents, where Kojo can use it in any chat. Saved images are read once and indexed by their description and any visible text, so you can search for them too. Viewers can't save into a workspace.
Ask Kojo during a live meeting
While a meeting is recording, its live page shows a real-time transcript alongside an Ask Kojo chat panel where you can ask about what's being said as it happens. On desktop, drag the line between the transcript and the panel to make the panel wider or narrower.
Who can open a live page. You, anyone in your workspace the meeting is visible to, and, if you created a public share link for that meeting, anyone holding that link. People outside those groups get a "not found" page even if they have the meeting's URL. Guest questions are billed to your credits, so you can switch them off per meeting (Allow guest questions) or account-wide in Settings > Live Meetings.
Guest communications
In Settings > Live Meetings, you can choose whether guests receive pre meeting emails, including the recording notice, invitation, reminder, and meeting prep details, the post meeting summary email, and the in call recording disclosure. These controls affect guest delivery only, your own summary email remains on. Turning a notice off can increase compliance risk, and you remain responsible for the recording, consent, and participant notice requirements that apply to your meetings.
In-call chat messages appear in the transcript too. If someone types in the meeting platform's own chat (Zoom, Google Meet, Microsoft Teams, or Cisco Webex), that message shows up inline, marked with a chat bubble icon and a "chat" badge so it's never confused with something someone actually said out loud.
Once the meeting ends, that panel becomes read-only for everyone, including the meeting owner, and the live transcript stops being served. A "Open in Chat Assistant" button lets you continue the exact same conversation on the full Kojo assistant page, with no restrictions.
Conversations
Your past chats are saved.
- Desktop: the conversation list is in the left panel. Use the three-dot menu on a conversation to rename, pin, or delete it; + New Chat starts a fresh one.
- Mobile: open the history drawer (history icon top-left, or swipe in from the left edge). Use the three-dot menu to rename or delete; the + icon top-right starts a new chat.
Seeing what Kojo is doing
While Kojo works on a question, the top of its reply shows Working for and a running timer, and under it the step it is on right now, for example "Searching your meetings and files" or "Reading budget.pdf". Each new step replaces the last one. Steps only name what Kojo is reading or searching, never its internal reasoning.
When the answer starts, the step clears and the line changes to Worked for and the time it took, with the answer below it. Select that line to see every step Kojo took. If you stop Kojo before it answers, the line reads Stopped after instead. Saved conversations keep this line when you reopen them.
This works the same way on desktop and mobile, in the assistant page, the Knowledge drawer, the meeting page chat and the live meeting assistant.
Tune how Kojo responds
Open AI settings and adjust Response Style (Concise / Balanced / Thorough), Cite Sources, Follow-up Suggestions, Custom Vocabulary, Names and Aliases, and Custom Instructions.
When Cite Sources is on, Kojo adds compact, clickable source chips at the end of the statements they support. Meeting chips use the meeting platform mark, while document chips use the relevant file icon. A meeting chip opens that meeting; a file chip opens Knowledge > Documents with that file scrolled into view and briefly outlined. Copying an answer leaves the chips out. Guests in a live meeting don't see chips, because they can't open the owner's meetings or files.
- Desktop: Settings > AI (
/dashboard/settings/ai). - Mobile: Settings (gear icon) > AI Customization (
/m/profile/ai-settings).
